We understand that our clients and visitors on our website and Facebook page (“you”) care how their personal data and information is collected, stored, used and shared. This notice describes Oz Pair Privacy Policy and outlines how we collect and use personal information that we receive from you and process on your behalf. By visiting Oz Pair website and/or Oz Pair Facebook page, you are accepting the practices described in this Privacy Policy.


What type of personal information do we collect and how we use it?


Au Pair matching service

We receive, collect and securely store any information you enter on our website, facebook page or provide to us in any other way, including but not limited to:

  • your name, 

  • e-mail address,  

  • any information that allow us to prepare your Au Pair or Host Family profile for the purpose of matching you with the Host Family/Au Pair that we think is a good fit for you; and

  • comments & feedback.


Your personal information will be disclosed to Oz Pair staff members and relevant Au Pairs or Host Families that we think are a good match for you in the course of providing our services to you. We will not sell, share, disclose, transfer or distribute your information to other parties without your permission unless we are legally required to do so or are authorised by you.

Where you select an Au Pair or Host Family you would like to interview, we will provide your email address to the Host Family or Au Pair so that you can arrange a mutually convenient time for an interview. We will not disclose your residential address or contact phone number unless authorised by you.


By providing your email address to us (for example, by way of completing the contact form on our website or on our landing page you arrive at when you click on our advertisement or if you contact us by email), you agree to be added to our mailing list and to receive general and/or personalized service-related notices and promotional communication. We value your feedback and may also be in touch from time to time with a survey on our services. This will allow us to continuously work on improving our services to you and other clients. You may at any time unsubscribe from receiving the communication from us. 


If you request information about our services and provide information such as your name, email address and/or telephone number, we will use this information to respond to your request.


Immigration visa assistance and advice

If you choose to use Oz Pair for immigration visa assistance and advice, we will also collect and process certain personal information and documents to provide you with the relevant visa service or immigration assistance. This includes information such as your name, passport details, contact details, date of birth and documents such as your bio page of your passport, bank statements, education documents, evidence of your English language ability and other information and documents as required for your visa application or other immigration assistance. Some information that we may request from you could be classified as “sensitive” information and would be subject to a higher level of data protection. “Sensitive” data includes information relating to, for example, your race or ethnic origin, religion or criminal convictions. We will only collect and store information and documents that are adequate, relevant and necessary for your visa application or to provide you with immigration advice.


We may obtain your personal and sensitive information by way of visa questionnaires, email and phone or video conversations or by you uploading them to Oz Pair Google Drive. We will use this information for the purpose of assessing your eligibility for a visa, preparing necessary application forms or other communication with the Department of Home Affairs (the Department), lodging your visa application with the Department or other government agency and liaising with the Department or other government agency regarding your lodged application. 

If we do not assist the Au Pair with the visa application, we will collect passport details from each Au Pair for the purpose of conducting a check through the Departments' Visa Entitlement Verification Online (VEVO) website. The VEVO check will allow us to verify that the Au Pair has an Australian visa and is allowed to work in Australia. By providing your passport details to us, you agree and authorise us to run the initial VEVO check before your placement begins and subsequent VEVO checks to confirm that your visa status and/or work rights in Australia have not changed. We will share the VEVO outcome and/or information about your visa and work rights in Australia with the Host Family.


Your personal information will only be disclosed to Oz Pair staff members and if necessary, to a Registered Migration Agent who we engage from time to time to provide immigration visa assistance and advice. We will not sell, share, disclose, transfer or distribute your personal and sensitive information to other parties without your permission unless we are legally required to do so. 

Third Party Service Providers

We carefully select third party service providers/sites we use in connection with the services we provide to you. The third party service providers we may use include PayPal, MailChimp, Facebook, Wix as well as translators, education service providers, couriers and other service providers where it is necessary to provide the service you requested. If it comes to our attention that the third party service provider misuses your personal data, we will take reasonable steps to prevent or stop the processing of your data. We cannot be responsible for the third party privacy policies, even if you access them using links from our website. We recommend that you check each site you visit for privacy notices.


How do we collect information?

When you conduct a transaction or send us a message through a contact form on our website, landing page or through our Facebook site, send us an email or upload the information or documents to our Google Drive account, as part of the process, we collect your personal information you give us. Your personal information will be used for the specific purposes stated above only.


How do we store your personal information?

Your file security is very important to us. Oz Pair is hosted on the Wix.com platform and our site is SSL secured. Wix.com provides us with the online platform that allows us to sell our products and services to you. Your data may be stored through Wix.com’s data storage, databases and the general Wix.com applications as well as other secure storage platforms and devices such as Google Drive which is encrypted using SSL technology. As an additional security measure, we may password protect the documents stored in Google Drive.


We will retain your personal information for any periods that are required by law (7 years for documents relating to your visa application) or as agreed to with you, after which, we will take steps to delete your personal information. 


How do we communicate with our site visitors?

We may contact you in the course of providing our Au Pair matching or immigration services to you or to respond to your enquiries with regards to our services. We may also communicate with you to resolve a dispute, collect fees or monies owed, poll your opinions through surveys or questionnaires, send updates and promotional offers about Oz Pair, or as otherwise necessary to provide our services to you or to enforce applicable national laws and any terms of the agreement we may have with you. For these purposes, we may contact you via email, telephone, text messages, and postal mail.


How do we use cookies and other tracking tools?

We use cookies and related technologies on our website, landing pages, Facebook page to compile anonymous, aggregated statistics that allow us to understand how many users visit our website and how they use it in order to make improvements to our website and service offerings.
